INFO: How do I set the Sent History Retention Period to less than 30 days

Question:

  • How do I set the Retention Times on the sent history folder to less than 30 days?
  • How do I set the Retention Time for Sent History?

Procedure:

In version 7.1 and above, you can set the Sent History retention to 1 day within the Configurator.

Trustwave recommends that you upgrade to the latest version to use this functionality.

  • Note: The default retention for Sent History in new installations of version 7.1 and above is 7 days. This is a change from the default in earlier versions. Sent History provides useful diagnostic information about message activity, and Trustwave recommends that you retain Sent History for at least 7 days.

For versions 6.9 and below, the Configurators enforce a minimum setting of 30 days.

Workaround:

If you cannot upgrade immediately, in version 6.9 you can set the retention period to less than 30 days using the following procedure:

On the Array Manager server, use the Registry Editor (regedit) to find the RuleDirectories registry key, which contains the retention time value for the Sent History folder:

{Registry Location}\Default\RuleDirectories

  • For MailMarshal SMTP 6.9 (64 bit) the registry location is: 
    HKEY_LOCAL_MACHINE\SOFTWARE\Wow6432Node\Marshal\MailMarshal\

The display name (value name) of this folder is always Sent History. The value will be similar to the following:

Description=str:Contains historic logs for delivered email.

To set the retention time, change DeleteDays=int:(VALUE) to the number of days you wish to retain these sent history items.

Warning: Using the Registry Editor incorrectly can cause serious problems that may require you to reinstall your operating system. Trustwave cannot guarantee that problems resulting from the incorrect use of Registry Editor can be solved. Make sure that you back up your Registry prior to making any changes.

After making the registry change, commit changes in the MailMarshal Configurator and restart the MailMarshal services.  The new retention time will be reflected in the MailMarshal Configurator GUI. 

Notes:

  • Sent History information will be retained for the number of days set plus one day.  This is because the program has to compensate for international enterprises that span multiple time zones.
  • If you attempt to adjust the retention time from the GUI, this will force the retention time back to the minimum 31 days.   
  • The physical location on disk of the Sent History folder is normally within the Quarantine folder of the MailMarshal install. To find the folder, look for a folder name matching the "Path" string in the Registry entry listed above. Do not edit the contents of this folder.
