HOWTO: How do I notify senders of my new company e-mail address standard?

Question:

  • How do I notify senders of my new company e-mail address standard?
  • How do I notify senders when my company's domain name has changed?

Procedure:

If you want a general response regarding your domain name change, you can use the Old Domain Name Responder Rule that is available by default in MailMarshal. 

If you would like to send out a notification that contains the full e-mail address of the intended recipient, then we suggest creating the rules outlined below:

Ruleset: New Email Address Response

Standard Rule: Header Rewrite Envelope Recipient & Stamp as OldCompanyA
When a message arrives
Where addressed to '*@companyA.com'
Rewrite message headers using 'Rewrite the Envelope Recipient' and 'Header Rewrite OldCompanyA'
And pass message to the next rule for processing.

 

Standard Rule: Header Match Send Correct Address Rule
When a message arrives
Where the message is addressed to or from any user
Where message contains one or more headers 'Header Match Send Correct Address'
Send a 'Correct New Address Response Email Template' notification message
And pass message to the next rule for processing.

 

Below are some guidelines for the suggested rules above:

  • The Rewrite the Envelope Recipient Header Rewrite should have the following for the matching options:
    • Select the fields to match against:
      • Envelope Recipient
    • Field Parsing method:
      • Email Addresses
    • Field search Expression:
      • (.+)@companya.com
    • Substitute into field using expression:
      • $1@companyb.com
  • The Header Rewrite OldCompanyA Header Rewrite should have the following options:
    • Select the fields to match against:
      • Create a new custom field using a name of your choice.
        • Example: x-OldCompanyA
    • Field parsing method:
      • Entire Line
    • Matching Options Dialogue:
      • Choose 'Insert if missing' option and enter a value of your choice.  Example: OldCompanyA
  • The Header Match Send Correct Address Header Matching should have the following options:
    • Select the fields to match against:
      • x-OldCompanyA or the field name you specfied previously.
    • Field parsing:
      • Entire line
    • Field Search Expression:
      • .+
  • The Correct New Address Response Email Template e-mail template should have the following fields populated:
    • Return Path:
      • {Recipient}
    • From:
      • {Recipient}
    • To:
      • {ReturnPath}
    • Message Body: (Can be customized as necessary).
      • Please update your records with my new email address. {Recipient}
